Practice Policies & Communication Guidelines

Welcome to Higbee Counseling. My goal is to provide a supportive, professional, and collaborative therapeutic environment. Please review the following policies regarding scheduling, communication, and emergencies.

Appointments & Cancellations

Appointments are reserved specifically for you. If you need to cancel or reschedule an appointment, please provide at least 24 hours' notice whenever possible.

Appointments canceled with less than 24 hours' notice may be charged a $75 late cancellation fee. Clients who do not attend a scheduled appointment without notice may also be charged a $75 no-show fee.

Repeated late cancellations, missed appointments, or difficulty attending sessions consistently may prompt a discussion regarding treatment goals, scheduling needs, and the appropriateness of ongoing treatment.

Communication Policy

Text messaging, phone calls, and email may be used for scheduling, rescheduling, or other administrative matters.

Clients may text or call regarding scheduling, cancellations, rescheduling, or other administrative concerns. This phone number is not monitored continuously and should not be used for emergencies or ongoing therapeutic communication.

Existing clients may also communicate regarding scheduling and administrative matters through the Headway client portal.

Text messages, phone calls, and email should not be used for therapy, urgent clinical concerns, or ongoing therapeutic conversations between sessions.

While I make every effort to respond in a timely manner, I am not continuously available and responses may take up to 1–2 business days.

Availability Between Sessions

Therapy services are provided during scheduled appointments. Communication outside of sessions is intended for administrative purposes only and should not be considered a substitute for therapy.

Concerns requiring clinical discussion should be addressed during a scheduled session whenever possible.

Emergencies

Higbee Counseling does not provide crisis or emergency services.

If you are experiencing a mental health emergency, are having thoughts of harming yourself or others, or require immediate assistance:

• Call 911
• Call or text 988
• Go to your nearest emergency room

Please do not use text messages, email, or voicemail for emergency situations.

Telehealth

Services are provided through secure telehealth platforms. Clients are responsible for attending sessions from a private location whenever possible and ensuring they have access to a reliable internet connection.
